Seaforth PTSA Minutes 11.12.25

Attending: Cate House, Emily Patterson, Norman Benesch, Traci Fallecker, Claudia Benesch, Courtney Prothero, Johanna Cook, Dr. St. Clair, Jason Turner, Rani Bander, Carmen Gonzalez

  1. Call to Order

  2. Approval of September/October minutes (Norm motioned to approve minutes, motion was seconded and unanimously approved. 

  3. Dr. St Clair update:

  • Report cards are in Infinite Campus (many parents (75%?) have access to Infinite Campus)

  • Sophomores just took the Pre-ACT and others will be making-up the exam

  • Seniors need to take a work keys assessment for CTE courses (early grads taking in the next couple weeks)

  • Budget constraints because schools haven’t received their budget for the year. They did receive the first allotment about $40,000 but they have not received their second allotment because there is no state budget. This is usually used for curriculum materials, like supplemental instructional materials for students.

  • Model UN Cultural night next week

  • Parent’s Night to inform parents about different types of courses (dual enrollment etc.)

  • Early graduation not recommended for socio-emotional reasons

  1. Student rep update: not in attendance

  2. PTSA Thrift Shop update (Emily)

  • 1,000 volunteer hours through October vs. 790 hours last year at this time

  • Net profit For PTA Thrift Shop of $187,000 vs. $181,000 this time last year

  • 7-8 work groups a week and they need supervisors for the work groups if anyone is interested in volunteering

  • Corrections to earlier allocations-we have budgeted for 2,000 hours for the year and we have already volunteered 1,000 hours so far this year. We have $850 in reserve that will not be rolled over to any group. 

  • Community members and parents can volunteer anytime during the day (call ahead) and students must volunteer outside of school hours

  • Trained sorters can volunteer without calling ahead (call thrift store to schedule the training which is 10 hours spread out over time where you learn how to sort clothing to meet thrift store standards)

  1. Budget update (Norm)

  • We do not have any new members 

  • We paid out for the planners (approximately $6,000)

  • We will solicit donations for holiday gift cards (part of  fall fundraiser) and teacher appreciation in May

  • Spirit Nights will be updated on the budget

  1. New logo presentation & vote

  • Jason Turner put forward a motion to vote on the new logo, logo was voted on and passed with a few abstentions (update logo on website and in givebacks)

  1. Halloween coffee update

  • Parent donated pastries and coffee was purchased from aromatic roasters

  1. Fall Festival update (Claudia/Norm)

  • Observations: students who attended had a great time

  • Electronic payment system would be helpful

  • Student events should be incentivized for students to attend

  • Few parents were in attendance, PTSA raised about $137

  1. Fall Fundraiser (Jason)

  • We have a goal of $15,000 for fall fundraiser and have raised $2,400 

  • About 4 yard signs with QR code for the fall fundraiser (cost about $150). QR code needs to be updated and Tiny URL should be created for “yard signs” for fundraiser


  1. Fundraising Subcommittee Report

  • Advanced notice for fundraising efforts for PTSA

  • Spring dance request-Ms. Guzman and a student club requested an option that is low-cost (timing could be difficult because of testing and prom). The club should put in a request for funding.

  1. Reimbursement requests 

  • Robotics Club put in request for funding without an amount specified-follow-up about specific amount the Robotic Club is requesting

  • Sustainability club put in request for $130 for garbage bags (not time sensitive so we can return to this request at a later date)

  • Mock Trial requested $125 for cords and ties for competition (clarify what the cords are for and what type of ties they need)

  • Junior Marshalls meeting with Dr. St. Clair

  • Astronomy Field Trip (bus and bus driver) Jason made a motion to approve the funding and Emily approved the motion. Motion was passed to approve funding for field trip bus and bus drive. (follow-up with Astronomy teacher about the funds being approved)

  • Mr. Bird (social worker) requested hygiene products for students-Emily will work with Thrift Store for clothes, approved for $50 ($50 should be allocated from budget for Mr. Bird’s request)

  • Fund requests should be made through the website and requests should always include a dollar amount

  • Band will be requesting funds (Brittany Ledford sp?)

  1. Spirit Night: (Rani)

  • $203 from Zaxby's Spirit Night

  • Carolina Brewery  Spirit Night (January 6th or 7th)
